Explore the six stages
  1. Intake

Bring requests and supporting documents into a clear project context.

  2. Contract review

Connect obligations, dates and payment conditions to their source.

  3. Invoice draft

Prepare a draft with the supporting evidence, ready for review.

  4. Payment follow-up

Track due dates, prepare reminders and surface overdue items.

  5. Cash visibility

Keep commitments, pending requests and paid amounts distinct.

  6. Management report

Bring priorities, exceptions and next actions into one clear summary.

FROM FRICTION TO FORWARD MOTION

Your team knows the work.
Let the system connect it.

Less chasing. Fewer disconnected records. A clearer path from the project requirement to the next approved action.

Where work gets stuckThe Madlool approachWhat your team gains
01

The project lives in too many places.

Scope in a document. Dates in a spreadsheet. Decisions in email.

One connected project record.

Link scope, contracts, deliverables, evidence and decisions across the lifecycle.

Clarity

Find the context before making the decision.

02

Weekly reporting becomes a weekly rebuild.

Teams spend time collecting updates instead of acting on exceptions.

Reporting prepared from project records.

AI drafts the update; the project lead validates sources, exceptions and the audience.

Capacity

Spend less effort assembling the same story.

03

Payments lose their connection to delivery.

A payment request arrives without the full acceptance trail.

Evidence before approval.

Connect each request to the contract condition, milestone and written acceptance.

Control

See why a payment is ready—or what is missing.

04

Follow-ups depend on someone remembering.

Actions stay open while ownership and the next step remain unclear.

Accountable, rule-based follow-up.

Agents prepare reminders with an owner and source. Authorized people approve sensitive actions.

Accountability

Make the next action visible to the right person.

BUILD YOUR OWN BUSINESS CASE

What could less admin
make possible?

Model the value of time released from routine project work. Your inputs drive every result. No hidden productivity benchmark or guaranteed savings.

YOUR ASSUMPTIONS
Review adoption, oversight and other costs

Example inputs are editable placeholders. Zero cost means “not entered,” not “free.” Calculations stay in your browser.

ILLUSTRATIVE FIRST-YEAR ESTIMATE
515hours of capacity released / year

After adoption and human review allowances.

Value of released capacity$12,880
First-year modeled costs$4,680
Net modeled economic value$8,200
Economic ROI on entered costs175%
Setup paybackNo setup cost entered
Capacity is not the same as cash savings.

Released time has financial value only to the extent it is redeployed productively or avoids cost. Validate the assumptions and complete all costs in a pilot.

Validate the business case with us
How the estimate is calculated

Baseline hours
People × weekly admin hours × working weeks.

Released capacity
Baseline × addressed effort % × adoption % × (1 − review %).

Value and cost
Released hours × hourly cost. First-year cost = 12 × (software + other monthly costs) + setup.

Economic ROI
(Capacity value − first-year cost) ÷ first-year cost × 100. No ROI is shown when entered cost is zero.

Setup payback uses setup cost divided by monthly capacity value less monthly recurring costs. It is not shown when recurring net value is non-positive. No project-count multiplier is applied, avoiding double-counting the same staff hours.

Excludes unentered costs, taxes, discounting, delivery risk and unproven revenue or project-delay benefits. AI features require the relevant scope and pricing; a sample software input is not an AI subscription offer.

A FEW THINGS WORTH KNOWING

Clear answers.
Before we talk.

Is Madlool a dashboard or a project operations platform?

The product vision is to manage work across the full lifecycle: scope preparation, approvals, contract obligations, submissions, acceptance, payments and closeout. Dashboards help explain that work; they are not the product’s only purpose. This website contains an interactive concept, not the operational SaaS application.

Where do payments fit in the lifecycle?

Payment requests can occur throughout execution and at closeout. The proposed model links them to the relevant contractual condition, acceptance evidence and approval. Tracking payment status is separate from authorizing or executing a bank transfer.

What can AI do without a person?

The intended model lets agents prepare work and execute routine steps under explicit rules and permissions. Important contractual decisions, acceptance, changes and financial approvals require authorized people. The walkthrough uses scripted examples; no live AI service is running here.

Can clients and contractors work in the same environment?

That is a core product requirement. Each party would receive access limited to its responsibilities and authorized project records. The stakeholder switches in the preview illustrate the experience; they do not implement login or permission enforcement.

Can we adapt the stages to our organization?

Yes, configurability is part of the intended product design. Stage labels, gates, approval authority, templates and terminology can follow the organization’s operating model. The example shown is not a mandatory project methodology.

Is the platform available for production use?

Madlool Tech is in development. You can explore the concept, discuss your requirements and define a pilot scope. Production readiness, availability, deployment, integrations, support and security controls must be confirmed before using it with company data.

Are the screenshots and video from a live customer system?

No. They are captures of the interactive prototype shown on this website, using fictional records. They illustrate the intended workflows; they are not production customer evidence.

Are the calculator results guaranteed savings?

No. The model uses editable assumptions about effort, adoption, review and costs. It estimates capacity value rather than guaranteed cash savings. A pilot should establish a baseline and test the business case.

Can I explore the website in Arabic?

Yes. Use the language control to switch between English and Arabic. Your language preference is stored locally; project examples and pricing remain the same.
